  • No, our agency operates by only billing designers for the hours that the Virtual Assistant works. Our VAs will track their hours digitally and at the end of the month, the Invoice is sent to the designer with the total amount of hours.

  • Yes, we certainly can provide a quote for our VAs work, especially when it comes to 3D rendering and drafting. Each project is different and different levels of detail is required, so we can tailor made your work to suite your needs

  • Finding the best VA for you and your business is our most important consideration when we start working together. To find out more about your business and needs we will arrange a phone call or video call where we will discuss important considerations - such as experience, software knowledge, availability and expectations. Once we have a clear understanding of what type of assistance you need, we will assess all our VAs and arrange an interview with the top 2 candidates. You will then be able to interview them and see examples of their work.

  • Yes, as we are exchanging design services and money, we do require designers to sign an agreement with us. In addition, all VAs also have signed agreements with the agency.

  • Once you are matched with your VA, you are free to communicate and delegate work to your VA in any manner that suites your business and work style. The best communication methods are email, project management software and virtual meetings. Using texts messages are usually not encouraged, as important information can be lost.

  • As part of our processes here at BDS, we require our VAs to send a weekly update (in addition to general communication) to the designer with a summary of the hours and the work performed for the previous week. This is a good time to review the work and the amount of hours for budget purposes.

  • At the beginning of a working relationship, it is important for the designer to set limits or ask for time estimates. You can also request that your VA check in with you from time to time, to track progress. If you need a big chunk of work done, then ask your VA to estimate the amount the hours - and having everything in writing in an email is a great way to keep track of your project budget

  • At the end of the month, the designer will be billed for the total amount of hours that the VA or VAs have worked. Invoices will be sent via Wave accounting with the option to pay by E-transfer (Canadian designers), ACH transfers (US designers or Credit card payments. We absorb Credit card fees, so you won't be paying any fees in addition. We are obligated to charge a 5% GST fee, as per Canadian tax regulations.

    Invoices will be in CAD$, please pay the CAD$ amount if you are a US designer. Your Credit card company will automatically apply the exchange rate to show up as US$ on your statement.

  • Yes, most of VAs (apart from a handful of general admin VAs) are designers themselves. Our VAs generally also have their own design firms and do virtual assistant work to supplement their income. They are all based in Canada (we do not use cheaper overseas VAs) - this ensures that there is no communication or language problems. In addition, our VAs are up to date with the North American design industry, this ensures efficient work and each other is spent productively.
